Privacy Policy

When a coaching centre ("Coaching") uses ClassLedger, we collect and store:

• Coaching staff information: name, phone number, email address (for owners, admins, and teachers who log in).
• Student information: name, grade/class, guardian name, guardian phone number, join date, and enrolled batches — entered by the Coaching, not collected directly from the student.
• Attendance records: present/absent/late status per student, per class.
• Fee records: amounts due, amounts paid, payment dates, and payment method as recorded by the Coaching. We do not collect or store bank account numbers, card details, or UPI PINs — all payments happen directly between the Coaching and the parent, outside our platform. We only record what the Coaching tells us was paid.
• Message logs: a record of WhatsApp messages sent (e.g. fee reminders, absence alerts) and their delivery status.

We use this information only to provide the service: tracking attendance, tracking fees, and sending WhatsApp messages to guardians on the Coaching's behalf. We do not use this data for advertising, and we do not sell any data to third parties.

• WhatsApp / Meta — to deliver the messages the Coaching sends through ClassLedger.
• Our hosting and database provider (Supabase) — to securely store the data.

We do not share data with any payment processor, since ClassLedger does not process payments — all fee and subscription payments happen directly via UPI, bank transfer, or cash, outside our platform.

Many students using ClassLedger are minors. Student information is provided to us by the Coaching, not collected directly from children. The primary contact point for any communication is the guardian's phone number, not the student's.

Each Coaching's data is kept separate and isolated — one Coaching can never see another Coaching's students, staff, or records. Data is stored securely with our hosting provider, and access to our internal admin systems is restricted to authorized ClassLedger personnel only.

We retain a Coaching's data for as long as their account is active. If a Coaching cancels their subscription, they may request full deletion of their data by contacting us. A parent or guardian may also request that their child's information be deleted by asking their Coaching, who can make this request to us on their behalf.

Our website may use basic analytics tools (e.g. Google Analytics) to understand website traffic. This does not apply to the Coaching's private dashboard, only our public marketing website.

We may update this Privacy Policy from time to time. Significant changes will be communicated to Coachings via email or WhatsApp.
